Purpose

Together Women’s Health recognizes our teams should have opportunities to enjoy paid time away from work which promotes a healthy work-life balance. The paid time off (PTO) policy allows team members to use and manage their time off to meet personal needs such as vacation, illness, appointments, and other activities of the team members’ choosing.

Guidelines

PTO is tracked on team members’ Time Off section of ADP. Each full-time team member will accrue PTO in increments per pay period (or semi-monthly) based on regular hours worked and length of service. Part-time team members will accrue PTO on a pro-rated basis. Earned PTO will be automatically added to a team member’s PTO bank accordingly. Unless prohibited in your state, a maximum of 5 days (40 hours) per week is eligible to rollover for full-time team members and 20 hours for part-time team members from one anniversary year to the next. With any time off request, you are required to work with your Practice leadership to ensure the needs of the business are met.

Team members become eligible to utilize earned PTO following the completion of the team member’s first 90 days of employment. To utilize PTO, team members are asked to give their supervisor as much notice as possible, unless the PTO is used for legitimate, unexpected illness or emergencies.

Please refer to the PTO section of the Together Women’s Health Employee Handbook for specific details around requesting, and scheduling time off.

Steps

To view any information regarding your PTO bank, navigate to the "time off" section in ADP:

Select "View Balance Details":


From there, you can view:
  1. Earned PTO (accruals)
  2. Used PTO
  3. Scheduled PTO
  4. PTO Rollovers

Viewing Earned PTO

Earned PTO allows you to view the PTO you've accrued.

Select your PTO Policy:
      

Select "View Details" under the "Earned" section.
      

View the PTO hours you've accrued/earned based on the range selected.  NOTE: you can change the date range to view historical information.
      

Viewing Used PTO

Used PTO allows you to view the PTO you've taken, detailing how many hours you've utilized on each specific PTO day.

Select your PTO Policy.
      

Select "view Details" under the "Taken" tab.
      

View the breakdown of your total taken PTO.
      

You can also view the comments associated with the PTO you took on a specific day by selecting the blue square icon under the comment section.
      

Viewing Future Scheduled PTO

Scheduled PTO is subtracted by your total earned PTO.

After navigating to the time off section and selecting "View Balance Details", you will be able to view the PTO that you have scheduled.  Scheduled PTO time is held in reserve against your future earned PTO time. Therefore, in some cases, you may not see your total bank increase until you've earned more than what is future scheduled.
      

Viewing PTO Rollovers

PTO rollovers, or “carryovers” allows you to view the total time that was carried over from your anniversary date.

For full-time team members, a maximum of 5 days (40 hours) is eligible to rollover from one anniversary year to the next. However, all remaining PTO time in excess of 5 days (40 hours) will be forfeited on a team member’s anniversary date. *unless prohibited in your state

After navigating to the time off section and selecting “View Balance Details,” you will be able to view the PTO carryovers in the carryover section of your PTO timeline.
      

Additionally, you can select your time off policy and select "View Details" under the Carryover tab.
      

View the balance that was carried over, less hours that were in excess of 40 since the maximum carry over amount is 40.

            



    RELEVANT REGULATIONS
